When I was evaluating property management software for our retail strip centers a few years ago, I noticed something strange: nearly every platform was designed around the same set of problems. Tenant screening. Rent collection. Maintenance tickets. Inspection scheduling. Move-in/move-out coordination.

Those are real problems. They're just not my problems.

I own NNN retail properties. My tenants are responsible for their own maintenance. They pay their own taxes and insurance. A maintenance ticket is something I almost never see. What I do see — every single year — is 120+ line items of common area maintenance expenses that have to be reconciled, allocated pro-rata, and defended to tenants who have an audit right.

That's a fundamentally different operational job. And it took me longer than it should have to realize that the software category built for residential landlords was never going to solve it.

What Residential Property Management Software Is Built For

The residential landlord problem is, in broad strokes:

This is a volume problem. A residential portfolio of 50 units might have 50 different tenants, 50 separate leases, and dozens of maintenance tickets open at any given time. The software is built to process that volume.

That's exactly what most PM platforms do well. They've been refined over years to handle tenant communications, automate late fees, coordinate maintenance workflows, and produce the financial reports that residential landlords need.

What NNN Property Management Is Actually About

I have three properties. Three tenants. From the outside, that sounds simpler.

It's not simpler. It's differently complex.

CAM reconciliation is the first thing that trips up anyone who tries to manage NNN properties with residential-oriented software. At the end of every year, I owe each tenant a reconciliation of all common area maintenance expenses — broken down by category, filtered by what's actually includable under their specific lease (some leases cap management fees; some exclude capital improvements; some have gross-up provisions for occupancy below 90%). Each tenant's pro-rata share is calculated based on their leased square footage relative to the total leasable area, sometimes with carve-outs. This reconciliation can run 120 line items for a single property.

A general-purpose platform built around residential rent rolls doesn't have a place to store CAM exclusion clauses per tenant. It doesn't know what "gross-up to 95% occupancy" means. It can't track which expense categories are capped by which lease and then apply that cap when generating year-end statements.

Lease administration is the second major difference. NNN leases are long, complex documents with embedded options, rent bumps on specific dates, co-tenancy triggers, dark clauses, and renewal notification deadlines. Missing a rent bump date by a month means leaving money on the table. Missing a co-tenancy trigger notice period means a tenant has a valid claim that their rent is reduced.

Residential software tracks lease start and end dates. That's useful but it's not the same thing as tracking: option exercise windows, CPI adjustment calculation dates, SNDA requirements, permitted-use clause restrictions, and subordination triggers across a portfolio of three leases with very different negotiated terms.

Tenant financial analysis is the third piece. With NNN retail, I'm making long-term credit decisions on individual operators. A franchise tenant at a national QSR brand is a different risk profile than an independent operator who runs two locations. Understanding unit economics, reading personal guarantee strength, evaluating lease guaranty coverage — these are tools I need when a tenant asks to sublease or when I'm evaluating a renewal.

No residential PM platform has this. It's not a gap they can fill by adding a feature; it's outside the problem space they were built to solve.

Why Adding Features Doesn't Solve a Structural Mismatch

I've seen platforms add commercial features. There are modules, add-ons, and new suites that claim to handle CAM reconciliation. What you typically find is a field for "CAM estimate" and a way to collect monthly estimates from tenants. That's not CAM reconciliation — that's CAM billing.

The reconciliation problem isn't about collecting money. It's about calculating what's actually owed at year-end based on actual expenses, filtered through the exclusions and caps in each tenant's specific lease, allocated by the correct pro-rata methodology, and producing a statement that can survive tenant audit.

That calculation depends on the underlying data model — specifically, whether the system was designed from the start to hold lease-level CAM exclusion rules, expense categorization tied to lease terms, and occupancy-based gross-up parameters.

A residential platform built around units, tenants, and maintenance tickets has a fundamentally different data model than a commercial platform built around leases, CAM buckets, and pro-rata calculations. You can't bolt reconciliation onto the wrong foundation.
